Privacy Policy

1. Who we are

SmartHire is operated by COMPASS Recruitment (Geelong, Victoria, Australia). For privacy questions, email cameron@compassrecruitment.com.au or call 0432 144 784.

This policy explains how we handle personal information for the SmartHire reverse talent marketplace for Australian engineering talent.

2. What we collect

Account details: name, email, password (stored hashed in production), and whether you are a candidate or employer.

Candidate profile: discipline, location preferences, credentials, salary/rate bands, open-to flags, quiet-mode settings, and other profile fields you choose to provide.

Employer details: company name, brand page content, job adverts, talent pools, and matching activity.

Marketplace activity: soft intros, request-to-interview (RTI) events, unlocks, job interests, referrals, and basic product analytics.

Technical data: IP address, device/browser type, cookies or local storage needed for login sessions and the optional installable (PWA) app, and security logs.

3. Why we collect it

To run the marketplace: create accounts, match candidates and employers, send soft intros and RTIs, publish job ads, and process unlocks.

To keep profiles anonymous from employers until you accept an approach — we do not reveal identifying details without your acceptance.

To invoice or charge for paid features (for example interview-pack unlocks and job ads) once payments are connected.

To keep the service secure, prevent abuse, and improve product quality.

To contact you about your account, approaches, or important service changes.

4. Consent, anonymity and soft intros

We do not reveal identifying details to an employer without your acceptance of that approach.

Candidate name, CV and contact stay hidden from employers by default. Match cards show an anonymised code and skills only.

A soft intro is a free, low-pressure interest signal (“would you consider a chat?”). Accepting a soft intro does not reveal your identity: the employer may see a fuller scrubbed CV (your name and employer/company names omitted). Real name, email and phone stay locked until they unlock, and unlock only happens after you have accepted.

Unlock may be paid (Match outbound) or free if you applied to that employer’s ad. Either way, it still requires your prior soft intro accept.

Accepting a direct request-to-interview (RTI) reveals your interview pack to that employer only.

You can decline soft intros and RTIs at any time. Declining does not publish your identity. Quiet mode hides you from company discovery entirely; domain masking blocks specific employer domains.

5. Who we share with

We do not sell personal information.

We share information with the other party in a marketplace interaction only as needed for that flow — and only after you have accepted that approach (for example, after soft-intro accept + unlock, or after RTI accept).

Service providers (hosting, email, analytics, payment processors) may process data on our behalf under contract. Card payments, when enabled, are handled by a payment provider — we do not store full card numbers.

We may disclose information if required by Australian law or to protect rights, safety, or the integrity of the service.

6. Storage and overseas disclosure

Staging and early production may use Australian and/or overseas cloud hosting. Where personal information is stored or accessed outside Australia, we take reasonable steps to ensure it is handled consistently with this policy and the Australian Privacy Principles.

7. Retention and security

We keep account and marketplace records while your account is active and for a reasonable period afterwards (for disputes, invoicing, and legal obligations), then delete or de-identify when no longer needed.

We use access controls, encrypted transport (HTTPS in staging/production), and hashed passwords in production. No method is perfectly secure; please use a strong unique password.

8. Your rights

You can request access to, correction of, or deletion of your personal information, and you can close your account, by emailing cameron@compassrecruitment.com.au.

You may also complain to us first; if unresolved, you can contact the Office of the Australian Information Commissioner (OAIC).

9. Cookies, local storage, and PWA

We use session cookies or equivalent storage to keep you logged in.

If you install SmartHire as an app (Add to Home Screen / PWA), your device may cache assets offline; that does not change who can see your profile inside the marketplace.

10. Children

SmartHire is for adults (18+) working in professional engineering and related roles. We do not knowingly collect information from children.

11. Changes

We may update this policy as the product matures. Material changes will be noted on this page with a new effective date. Continued use after an update means you accept the revised policy.
